We are looking for a highly organized and welcoming Bilingual Office Administrator (English/Arabic) to support the daily operations of a local organization. This role is key to ensuring the office runs smoothly and efficiently while helping the team stay focused on serving families in the community—many of whom speak Arabic as their first language.
Key Responsibilities
- Serve as the first point of contact for visitors, families, and partners (in person, by phone, and via email).
- Manage email communications and respond promptly.
- Contact clients on a monthly basis to maintain engagement.
- Communicate effectively in both English and Arabic with families and community members.
- Coordinate scheduling, calendars, and meeting logistics for staff and programs.
- Maintain organized filing systems (digital and physical) and ensure records are accurate and up to date.
- Assist with data entry and prepare reports for monthly Board Meetings.
- Order and maintain office supplies and equipment.
- Support event planning and coordination (e.g., workshops, community gatherings).
- Liaise with vendors, service providers, and building management as needed.
- Provide general administrative support to staff and leadership.
- Organize and replenish program kits as needed.
- Mentor volunteers and students.
- Create and schedule social media posts.
Qualifications
- Proven experience in office administration or a related role.
- Fluency in English and Arabic (spoken and written).
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- Comfortability working with families and children.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic database systems.
- Ability to work independently and collaboratively.
- Friendly, professional, and community-oriented demeanor.
- Experience in a non-profit or community setting is an asset.
Type: Part-time (8-12 hours per week)
Pay: $18 – $20/hour
