We are currently recruiting for a Bilingual Administrative Assistant to join our client. This is a fully remote position.
Responsibilities include, but are not limited to:
- Manage complex calendars across multiple time zones, scheduling appointments, meetings and travel arrangement for leadership and senior team members.
- Screen and prioritize incoming communications, including emails and phone calls.
- Handle sensitive and confidential information with utmost discretion and integrity.
- Act as a primary point of contact with external/ internal stakeholders, liaising to ensure smooth workflow and communication.
- Prepare and edit reports, presentations, and correspondence. Proofread for content and typographical errors and ensure correct spelling, punctuation and grammar
- Translate documents from English to French (vice versa) frequently and proficiently Large translations will go to a service provider
- Organize / plan meetings including agenda development, minutes, action items and distribution.
- Coordinates and schedules travel and meeting arrangements $75,000
- Assist Administrative Leader in coordination, travel and meeting arrangements $75,000
- Coordinate and schedule customer tours, field days, training sessions, and/or customer events and crop shops
- Manage, code and verify expense reports and track budgets for leadership and senior team members.
- Coordinate and oversee special projects as assigned input purchase orders, contract routing, process invoices for accounts payable etc.
- Liaison between marketing communications and sales reps by providing appropriate advertising and/or other materials.
- Coordinate and assist with the onboarding/training of summer students
- Look for ways to optimize workflow as needed, such as SharePoint sites where shared information can be stored.
- Assist with training individuals as required.
- Travel and provide onsite support at designated events throughout the year. Travel is required 5-10% of the year.
Qualifications Education & Experience:
- Must be Bilingual both verbal and written French
- Minimum of High School Diploma, college degree not necessary but helpful for continued Career Development.
- Minimum of 2-5 years of demonstrated administrative support experience, preferably supporting Sr. Level leaders within a complex organization.
- Demonstrated experience in planning/coordinating events
- Demonstrated experience with calendar management, domestic and international travel scheduling and arrangements, processing expense reports.
- Valid Passport and ability to travel domestically and internationally
What Skills You Need:
- You have proven experience as an administrative assistant or in similar role (2-minimum 5 years).
- Your attention to detail and your organizational skills are outstanding! You have excellent verbal, interpersonal, and writing skills.
- You are experienced and confident in your ability, proficient in use of Microsoft applications, such as Word, Excel, PowerPoint, Power BI, etc.
- You see problems as challenges and enjoy the opportunity to solve them and make improvements. You are flexible, able to multi-task/ prioritize responsibilities with competing priorities, work well under pressure and plan ahead to meet deadlines. You have a positive attitude, enjoy working independently and being part of a diverse team environment.
What Makes You Stand Out:
- An associate degree or bachelor’s degree
- Experience with Concur Travel or other expense reporting systems.
- Experience working within SAP and Ariba
- Experience booking domestic or international travel and itineraries.

Contract length: 16 months
Pay: $28.85 per hour
Expected hours: 37.5 per week
